1. Who this policy applies to
This Member Privacy Policy applies when you create or use a PageantIndex account as a professional or supplier, candidate or titleholder, pageant organization representative, media member, enthusiast, judge, tabulator, or other authorized PageantIndex member.
PageantIndex is the personal information controller for member information that PageantIndex determines how and why to process. Some services are provided by independent service providers that process information for PageantIndex or under their own applicable terms.
2. Information we collect
Account and private identity information
This can include your account email, private full name, authentication information, account type, country or general location, and information needed to establish that you are authorized to manage a profile or organization.
Profile and professional information
This can include your display or business name, professional category, biography, services, portfolio information, public links, public contact details you choose to publish, titles, placements, pageant history, organization information, and professional credits.
Verification and trust information
If verification is requested, PageantIndex may receive evidence needed to confirm identity, authority, profile ownership, pageant participation, professional work, or another specific claim. Verification material is not automatically public. Do not submit more sensitive information than PageantIndex requests.
Transactions and event operations
When you use paid features, voting, tickets, pay-per-view, merchandise, subscriptions, or other commercial services, PageantIndex may record order references, transaction status, amount, currency, related event or offer, and fulfillment status. Payment credentials such as full card numbers are handled by the applicable payment provider rather than intentionally stored in PageantIndex member profile records.
Support, reports, and communications
We process information you submit through inquiries, support requests, trust reports, disputes, invitations, applications, and other communications.
Technical and security information
We may process limited device, session, route, referral, security, fraud-prevention, and analytics information needed to operate, protect, diagnose, and improve PageantIndex. We aim to minimize this information and avoid collecting information that is unnecessary for those purposes.
3. Public information and private information are different
PageantIndex is built around public professional and historical records, but joining PageantIndex does not make all account data public.
Information that may become public after review
Depending on your role and what you choose or authorize to publish, public information may include your display or professional name, public biography, general location, portfolio, public contact details, organization or pageant information, candidate history, official results, published media, and confirmed professional credits.
Information kept private by default
Private account identifiers, private full-name fields, authentication data, draft-only information, private verification materials, unpublished submissions, internal moderation records, private support cases, payment-provider references that are not intended for publication, and founder or administrative information are not treated as public profile content.
Public pages can be copied, shared, cached, archived, or indexed by search engines and other third parties outside PageantIndex's direct control. Only publish information you are comfortable making public.
4. Why we use member information
PageantIndex processes information to provide and secure accounts; create, review, publish, and manage profiles; verify identity or authority; maintain pageant editions, candidates, results, and professional credits; operate voting, judging, tabulation, tickets, commerce, and related services; process inquiries and support; prevent fraud, abuse, impersonation, and security incidents; maintain audit and transaction records; comply with legal obligations; and improve platform reliability.
Depending on the processing activity and applicable law, the basis may include your request to use the service or performance of a contract, legitimate interests in operating and protecting PageantIndex, compliance with legal obligations, consent where consent is specifically required, or another lawful basis recognized by applicable data-protection law.
Optional direct marketing should be treated separately from the processing necessary to provide a PageantIndex account or requested service. Where consent is required for marketing, declining marketing should not prevent ordinary account use.
5. Professional credits, pageant records, and historical information
A PageantIndex professional credit is a structured relationship connected to a pageant edition and role, and may also connect to a candidate when candidate-specific. Confirmed credits and official public results can form part of the industry's historical record.
Closing an account does not automatically require PageantIndex to erase every independently verified public fact, official result, published article, or confirmed historical credit. Where PageantIndex has a lawful basis to preserve an accurate public or audit record, that record may be retained. You may still request correction, restriction, objection, or removal where applicable, and PageantIndex will assess the request against the nature of the record and applicable law.
6. When information is shared
We do not treat private member data as something to sell to advertisers. Information may be shared only as reasonably necessary with:
- other users when you intentionally publish profile information or a confirmed relationship;
- authorized pageant organizations, candidates, professionals, judges, tabulators, or counterparties when a feature requires that relationship;
- service providers that host, secure, deliver, or support PageantIndex;
- payment providers for payment processing and transaction status;
- professional advisers, auditors, insurers, or authorities where necessary for legal, security, fraud, compliance, or dispute purposes; and
- a successor organization in a legitimate merger, acquisition, financing, restructuring, or transfer of the PageantIndex business, subject to applicable privacy obligations.
Current technical service providers include Supabase for database, authentication, and private storage infrastructure; Vercel for hosting and server functions; and PayMongo where enabled for supported payment flows. These providers may change as PageantIndex evolves.
7. International processing
PageantIndex is designed as a global platform. Service providers, pageant organizations, members, or infrastructure may be located in different countries. When personal data is transferred across borders, PageantIndex will use the safeguards required by applicable law and will limit transfers to what is reasonably necessary for the relevant purpose.
8. Retention
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, the operation of your account, security and fraud prevention, dispute resolution, audit and financial recordkeeping, legal obligations, and legitimate historical records.
Retention therefore varies by data type. Active account and profile data may be kept while the account or relevant record remains active. Drafts and verification materials should not be retained longer than needed for review, security, appeals, or legal requirements. Transaction and audit records may need to be retained longer. Public historical records may be retained when there is a lawful basis to preserve an accurate industry record.
When information is no longer needed, PageantIndex should delete, de-identify, or restrict it as appropriate, subject to technical backup cycles and legal retention requirements.
9. Your privacy rights
Your rights depend on the law that applies to you. They may include the right to be informed, access your personal data, correct inaccurate information, object to or restrict certain processing, withdraw consent where processing is based on consent, request deletion or blocking where legally available, request data portability, and lodge a complaint with the appropriate data-protection authority.
For users protected by the Philippine Data Privacy Act of 2012, PageantIndex recognizes the applicable data-subject rights under that law and its implementing rules. Users in other jurisdictions may have additional rights under laws that apply to them.
Submit a privacy request through the PageantIndex Trust Desk and choose Privacy rights request. Do not send passwords, full government ID numbers, card details, or unnecessary sensitive information through the general report form. PageantIndex may need to verify your identity before acting on a request that affects account or personal data.
10. Children and minors
Independent PageantIndex account creation is intended for adults. If a candidate or participant is a minor, the account or profile must be managed or authorized by a parent, legal guardian, or other person or organization that is legally permitted to act for the minor, as appropriate to the feature and applicable law.
Do not publish a minor's private home address, private phone number, government identification, school schedule, or other information that creates an unnecessary safety risk. PageantIndex may restrict or remove information involving minors when needed to protect privacy or safety.
11. Security
PageantIndex uses layered technical and organizational safeguards intended to separate public records from private account information. These include authenticated access controls, row-level database policies, role-based administrative access, private upload storage, server-side handling for sensitive operational workflows, secure transport, and audit or trust controls where applicable.
No online service can promise absolute security. Members are responsible for protecting their login credentials, using a unique password, keeping recovery channels secure, and promptly reporting suspected compromise.
12. Automated tools and profiling
PageantIndex may use automation to support security, fraud prevention, routing, analytics, or internal prioritization. PageantIndex should not use a fully automated system to make a legally significant decision about a member without the notice, safeguards, and human involvement required by applicable law.
13. Changes to this policy
PageantIndex may update this policy when the product, service providers, legal requirements, or data practices materially change. The effective date and policy version will be updated. When a material change requires a new member acknowledgement or consent, PageantIndex may ask members to review the updated notice before continuing to use affected features.
14. Contact and privacy requests
Use the PageantIndex Trust Desk for privacy concerns and data-subject requests. Choose Privacy for a privacy incident or concern, and Privacy rights request to request access, correction, deletion or blocking, portability, objection, restriction, or another applicable data-subject right.
PageantIndex may request reasonable information to confirm identity and protect the account before disclosing, changing, or deleting personal information.
Member acknowledgement at sign-up
When you create an account, PageantIndex records the version of this privacy notice that you acknowledged. This acknowledgement does not convert every processing activity into consent. Where a specific activity legally requires consent, PageantIndex must request that consent separately and allow withdrawal where applicable.
